Hi all,

I had quite a few requests for information, so I decided to just put it all
here for everyone to see.

Here are a couple of details about our Edible Book Festival that will
hopefully get you started.If you have any specific questions, please let
email me off-list!

We do our Family Literacy Night during book fair week, so we also have that
open for shopping during the evening.  We typically start promoting the
Edible Book Festival when we give the book fair flyers out to language arts
teachers (2-3 weeks in advance).  We also put up a bulletin board with
edible book pictures to generate interest.

During the evening of the event, I have staff that signed up to supervise
as one of their “duties”.  I usually get 6-10 staff members to help out.
We have several at the check-in desk, helping the students identify what
categories they might want to enter.  Our categories are best in each grade
level, best staff, funniest and best Caudill nominee. Categories vary from
year to year, but those are constants.  As they check in, a slip goes with
the Edible entry that gives it a number (so the entries are anonymous),
lists the title and categories, and any major allergens.  That slip stays
by the edible entry.  Entries line up as they arrive on tables near the
festivities.

Ballots get handed out a little later in the evening to prevent people from
voting before all the entries show up.  Anyone can vote, not just our
students.  We typically have over 100 ballots to tally, which means that we
don’t find out the winners until the next day or after the weekend. The
prize is a book of a certain value from my book fair, so they can pick that
out after we announce who won (but before we pack up the book fair to
return to the company).

When it comes time to eat the edible entries, I recommend having the
entrant bring their own serving utensils (we provide plates, forks, napkins
and water).  Our first year, we didn’t think about it and all the staff was
going crazy trying to cut everything up!  Now, we have each entrant go to
their edible creation and cut and serve it to the guests.  They are also
responsible for taking their leftovers home.

During the evening, we also have various games going on: author BINGO,
bookmark decorating and a hybrid of musical chairs and a “cake walk” that
I’ve dubbed “Novel Notes”.  This along with the book fair shopping keeps
families busy during the evening.

I also offer raffle tickets to students for: showing up to our event,
entering an edible book, and one ticket for every TWO books purchased at
our book fair.  My PTA gives us an event budget for the year (the other
event I use that $$ for is our All-School Read) and prizes come from that
budget.  I usually raffle off book store gift cards (local if possible!)
and Kindle Fires.  I do the raffles at the end of the night as it’s a
pretty good way to get people out the door.

Last year I made a “to-do” list that keeps me organized for my book fair
week and edible book night.
