Having a schedule typed out for all the teachers is really helpful.
Communicating with other special area teachers about the schedule is
important, especially if you're going to be using the gym, etc. I always
included expectations for teachers in my schedule (things go a lot better
if you have teachers in the presentation to help with behaviors and crowd
control). Teachers shouldn't miss their plan time, but teachers shouldn't
take the presentation as an extra plan time if they would normally be
teaching.

Scope out ahead of time how they will best fit in your presentation space.

Asking the author what items they need for their presentation (a table,
projector, slide advancer, microphone, etc.). Ask the author which of his
books he will be reading, if you can, and then try to read as many of the
ones he will not read as you can. If you don't have time to do it in
library class, you could try requesting multiple copies and make them
available to teachers. I found the more students knew about the author
ahead of time, the more engaged they were with the presentation.

I also made sure to have bottled water and a firm plan for lunch. Ask your
office if they can reimburse you for that stuff (I typically could be
reimbursed out of my activity fund).

Be prepared to be exhausted at the end of the day. It is so much fun, and
you're going to appreciate having it be on a Thursday so you only have one
more work day to get through before the weekend!

If you have any other questions, please feel free to ask. I have hosted 2
author visits, and planned a 3rd before moving on to a new position.

Have fun!
